Payroll Support (Backup) and Business Expense Reimbursements (T&E Reports)
  • Provide backup and overflow support for payroll-adjacent tasks under the direction of the Payroll Manager. Note: This role does not process payroll.
  • Assist with employee reimbursements and verification of related documentation in accordance with firm policy and basic IRS requirements.
  • Support internal reviews and external audit requests by gathering and organizing requested records.
  • Apply the firm’s policies and procedures to assist with payroll-adjacent tasks accurately and consistently. Examples of payroll-adjacent tasks could include accounts receivable, quarterly payroll tax audits across 26 states, companywide payroll profile audits following annual open enrollment and/or year-end performance review.
Accounts Payable
  • Receive, review, and process vendor invoices, ensuring accuracy, completeness, proper authorization, and timely payment.
  • Maintain and update vendor master records, including collecting and verifying W-9s and payment details to support accurate year-end 1099 reporting.
  • Help maintain accounts payable for internal controls, documentation, and audit-ready records.
Case Cost Reconciliation
  • Reconcile advanced client and case costs between the case cost tracking system (Clio), accounts payable system (Ramp), and the firm’s accounting records (QuickBooks Online).
  • Compare records across systems to confirm that transactions are accurately captured, categorized, and aligned.
  • Ensure case-related expenses are accurately recorded, allocated to the correct matter, and supported by documentation.
  • Maintain organized supporting documentation for all reconciliations to support audit readiness.
  • Flag and help resolve discrepancies in case cost entries.
  • Assist with compilation and review of annual, year-to-date and quarterly case costs.
  • Provide support on ad hoc finance projects, including reporting and process improvements.
Baseline Qualifications (Required)
  • Extremely detail-oriented, with a high degree of accuracy across all work.
  • Ability to meet deadlines and manage multiple priorities simultaneously.
  • Proficient in Excel, including data organization, basic formulas, and data manipulation/analysis.
  • Ability to complete audits and identify discrepancies.
  • Trustworthy and discreet when handling sensitive and confidential information.
Helpful Knowledge (Expertise Not Required; Direct Experience a Plus)

This role does not process payroll, but a basic, working familiarity with the following helps ensure tasks are completed accurately without the need for training from the ground up:

  • Core payroll concepts — earnings vs. deductions vs. taxes; W-2s and W-4s; biweekly payroll cycles; SIT/SUI payroll taxes.
  • 401(k) contributions and basic benefits deductions.
  • Accounts receivable and billing processes.
  • Employee reimbursements and basic IRS requirements.
  • Ability to quickly learn and combine the firm’s policies and procedures with a generalized understanding of payroll and finance to support payroll and finance-related tasks when needed.
  • Comfort navigating HRIS platforms. Experience with Paylocity is a plus.
  • Strong attention to detail in environments where processes are binary, correct vs. incorrect, and require precision.
Preferred / Bonus Qualifications (Not Required)
  • Experience with accounts payable workflows and systems, including Ramp.
  • Experience with Clio or other legal billing systems.
  • Familiarity with accounting systems, such as QuickBooks Online.
  • Experience reconciling data across multiple systems.
  • Familiarity with AI productivity tools such as Claude.

Bilingual Intake Specialist (Remote)

  • Manage multi-attempt contact protocols across multiple live cases without dropping a ball.

What You Bring
  • Bilingual fluency in English and Spanish — genuine fluency, not conversational-only.
